Hope’s Home Community Event Hosting Guidelines
Community Fundraising is a fundraising initiative directed and managed by individuals or groups in the community where some or all event proceeds are donated to Hope’s Home.
The Hope’s Home Community Event Hosting Guidelines aim to ensure that all events undertaken to support Hope’s Home are successful, positive experiences that reflect well on the event organizers and Hope’s Home.
Organizers must adhere to the following guidelines to ensure that all community fundraising events positively impact Hope’s Home children, families, and staff.
GUIDELINES:
- Hope’s Home reserves the right to deny any application for a special event/fundraising program that does not present, in the organization’s view, a positive image for Hope’s Home.
- Logo must not be used without prior review and consent by an organization representative for any electronic or hard copy materials.
- Philanthropy staff and volunteer resources are limited relative to the number of fundraising events in a typical year. Hope’s Home staff and volunteers should participate minimally and should not be a critical element in the success of any community event.
- Philanthropy staff will be pleased to have information available regarding the event, including where and how to acquire tickets, however they are unable to actively participate in the sale of tickets.
- Hope’s Home will not provide “seed money” or otherwise invest donor funds for Third-Party fundraising events.
- Hope’s Home is not liable for any injuries sustained by event volunteers or participants related to an event benefiting Hope’s Home and cannot assume any type of liability for the event.
- Hope’s Home requires that charitable gaming activity (raffles, 50‐50s, etc.) must be licensed by Saskatchewan Liquor and Gaming (SLGA). As a third-party entity you can apply for a license, please see https://www.slga.com/permits-and-licences
- Charitable Tax Receipts:
- Official tax receipts may be issued by Hope’s Home for donations of $20.00 or more and in accordance with Canada Revenue Agency guidelines, which addresses issues such as “advantage” received as part of the ticket price.
- The event organizer is responsible for providing participant names, addresses, contact information and donation amount in a clear and legible manner. This will ensure that Hope’s Home is able to maintain accurate records for receipt purposes.
- The event organizer is also responsible for providing Hope’s Home with a detailed accounting (including supporting documentation) of any advantage received by event supporters as charitable receipts will only be issued, net of advantage, in accordance with Canada Revenue Agency guidelines.
- A letter of thanks is included with the charitable receipt. Hope’s Home would be happy to provide you with further information on this.
- Event information and proceeds must be received within 30 days of the event.
- Hope’s Home cannot issue a charitable donation receipt for items purchased at an auction or for purchasing tickets for a draw prize.
- For more information on charitable receipting processes, please visit the Canadian Revenue Agency website at https://www.canada.ca/en/services/taxes/charities.html
All cheques are to be made payable to Hope’s Home and include the event name in the cheque memo.
